Two things HR admins do most

Adding a new hire in Employee Navigator

  • Start from the Dashboard
    Log in to your Employer portal. On the homepage (Home tab), look under your Quick Links and click Add New Employee.
  • Enter SSN
    Input the employee's Social Security Number and click Next.
  • Add Demographic Details
    Fill in the employee's basic personal information — name, address, date of birth, gender, etc. — and click Next. See the required fields below.

    • SSN
    • Last Name
    • First Name
    • Sex
    • Date of Birth
    • State of Residence
    • Hire Date
    • Payroll Group
  • Input Employment & Compensation Data
    Enter their hire date, job class, and compensation details. Do not skip the salary/hourly fields — if your company offers benefits like Group Life or Long-Term Disability, the system needs this data to calculate coverage amounts and costs correctly. Click Next.
    If any Class Structure (Class, Department, Division, etc.) is marked HR Required or Plan Required, it will also appear here. You can proceed without them, but complete them to avoid the employee being flagged as Incomplete.
  • Send the Welcome Email
    The system will prompt you to send a registration email. If you want the employee to log in and enroll immediately, click Send. If you aren't ready for them to access the system yet, click No, Not Now — you can trigger this email later from their profile.

Terminating an employee in Employee Navigator

  • Locate the Employee
    From your Employer dashboard, search for the employee by name or SSN in the top search bar, and click on their name to open their profile.
  • Initiate Termination
    On the right-hand side of their profile under the Quick Links menu, click Terminate Employee.
  • Enter Termination Details
    Provide the exact Termination Date. This is critical — the system uses this date to calculate exactly when their active benefits end (e.g., end of the month vs. immediate) based on your company's specific plan rules. Select the Reason for termination from the dropdown menu (list below).
    Termination reasons
    • Voluntary Termination
    • Involuntary Termination
    • Reduction in Force
    • Retirement
    • Death of Employee
    • Gross Misconduct
    COBRA note: Gross Misconduct is the only reason that will not trigger COBRA.
  • Review Affected Plans
    The system will display a list of all benefits the employee is currently enrolled in and show the calculated coverage end dates for each plan. Review this carefully to ensure it aligns with your policies.
  • Confirm and Save
    Once you've verified the information, click Save or Complete Termination.

Payroll integrated?

If your payroll platform is connected to Employee Navigator, you don't need to do either of the workflows above. Add the new hire — or trigger the termination — in your payroll system as usual. That data syncs to Employee Navigator overnight, and benefits follow.
